Cleaning acceptance should confirm that the agreed work is complete in the areas the contractor could access. A signature on a timesheet establishes attendance, not necessarily the required premises standard. Use a practical inspection record that distinguishes completed work, defects and blocked tasks, then connect it to correction and commercial approval.

## Inspect against the current scope

Use the agreed area and task schedule, including authorised changes. Check routine and periodic tasks separately. If an area was unavailable, record the reason and the next action rather than marking it complete or treating it automatically as a contractor failure. Both parties should be able to follow the same status record.

Distinguish existing damage from a cleaning defect using the mobilisation baseline where available. A permanent mark or worn finish may need a facilities decision rather than repeated cleaning. Do not ask the team to attempt an unreviewed treatment simply to make an inspection item disappear.

## Make observations specific

Record the location, task and visible issue. Where photographs are appropriate, avoid confidential documents, screens and identifiable people. Keep the evidence in the customer's approved system. A precise note allows the supervisor to direct the correction without another full walkthrough.

Use sampling consciously when inspecting a large premises. State which areas were checked and rotate or expand the sample when patterns justify it. Do not describe a limited inspection as proof that every surface received the same review. Specialist hygiene outcomes require their appropriate evidence and should not be inferred from a visual check.

## Verify the correction

Agree who will complete the correction and when the area can be accessed. Reinspect the relevant task or obtain proportionate confirmation through the agreed process. Close the issue when the result is accepted, not merely when a cleaner has been dispatched or a supervisor has replied.

If the same defect returns, escalate it as a recurring service issue. The cause may involve scheduling, training, equipment or an unclear standard. Repeatedly reopening isolated tickets without examining the pattern can consume time while leaving the underlying problem unchanged.

## Link acceptance to the account record

Send material exceptions and completed periodic work to the person reviewing invoices or service reports. Follow the contract's payment and remedy process rather than improvising deductions. Preserve the original inspection and correction history. This gives facilities and procurement a common basis for discussing what was delivered and what still needs action.
