An electronics supplier may propose a replacement model when the approved product is unavailable or discontinued. A substitution can be sensible, but it should be assessed against the complete installed setup rather than a few headline specifications. The buyer needs to understand technical, commercial and scheduling effects before accepting the change.

## Record the reason and affected quantity

Ask which units or delivery stages are affected and why the original model cannot be supplied. Keep the original specification available. The supplier should identify the complete replacement part number, regional variant, condition and accessories rather than describe it only as an upgrade.

Clarify whether the change is optional or necessary to meet the proposed schedule. This helps the buyer compare waiting for the approved model with accepting the alternative under revised terms.

## Compare the functions that matter

Have the technical owner review interfaces, physical dimensions, application support, mounting, power arrangements and other relevant requirements. Include management or configuration implications where devices connect to organisational systems.

For example, a newer tablet may fit the software requirements but not the installed enclosure. A television may have a different connector position that interferes with a mount. These are practical differences even when the substitute has a better headline specification.

## Recheck support and total cost

Review the written warranty and regional service arrangement for the proposed units. Identify additional accessories, installation effort or configuration work. Ask the supplier to state any price change and the effect on delivery or the remaining order balance.

Do not assume that the buyer should absorb all adaptation costs because the substitute is described as newer. The commercial decision should be made explicitly against the contract and the actual reason for the change.

## Approve a revised baseline

Where the difference is material, test a representative unit before accepting the full quantity. Record the assessed configuration, limitations and approval. Update the purchase order or agreed change record so receiving teams know which model is now acceptable.

Preserve the relationship between the original and substituted units in asset and support records. A mixed installed base can be manageable when it is documented, but confusing when every unit is recorded under the first model name. The change process should leave the business with an intentional configuration, not an accidental collection of devices that were individually accepted to keep deliveries moving.
