## Define the receiving use

Identify whether the package supports costing, tendering, further design or construction activity. Agree the required issue status with the responsible project professionals. Information prepared for one purpose should not silently become authorised for another because a recipient finds it convenient.

Create a deliverable register showing drawings, schedules, models and reports with revision and status. Record superseded material and control its circulation. Ask the recipient to confirm that the files can be opened and used in the agreed workflow before closing the transfer.

## Explain the design basis

Provide the current brief, key approved decisions and relevant assumptions alongside the design package. Identify unresolved matters and dependencies on other consultants or authority feedback. A concise status report helps the receiving team interpret the drawings without reconstructing months of meeting notes.

Clarify coordination boundaries. State which interfaces have been reviewed through the agreed process and which still require action. Avoid describing the package as fully coordinated when the evidence supports only a more limited status. Qualified professionals should determine technical adequacy for the intended use.

## Agree questions and later support

Define how the tender or delivery team raises queries and who responds within the architectural appointment. Distinguish clarification of issued information from new design work or a client-requested change. Record the commercial route for additional services before urgent questions arise.

Confirm file-use permissions and responsibilities for modifications by others. Have appropriate advisers resolve contractual or intellectual-property questions. Retain an issued record so later changes can be distinguished from the architect's original package and the approved project decisions.

## Close the transfer with evidence

Hold a handover review with the receiving leads, record missing items and assign owners. Obtain acknowledgement of the delivered register and open-action list rather than an undefined declaration that everything is complete. Good handover preserves the design's meaning and limitations as responsibility moves between teams, reducing avoidable confusion while recognising that later technical reviews, approvals and project changes may still be required.
