## Define the claim being evaluated

Ask the supplier what its environmental statement covers: a product, packaging arrangement, equipment feature or measured operation. Identify the evidence and the scope to which it applies. A certification associated with one product should not be treated as an overall certification of every material and subcontractor used in the service.

Record the exact product or arrangement proposed for the site. If the supplier reserves the right to substitute, agree how the customer reviews the replacement. This prevents an award based on one documented feature from becoming a different routine service without anyone noticing.

## Preserve suitability and competent review

Have the responsible site team assess materials and methods against surface requirements and applicable instructions. An environmental preference does not justify an unreviewed treatment or an unsupported claim about specialist hygiene performance. Procurement should organise the evidence and comparison while leaving technical suitability to competent personnel.

Ask how the contractor prevents unnecessary rework through training, supervision and clear task schedules. A service that repeatedly misses areas or uses an unsuitable approach can consume additional materials and time. Better first-time completion is an operational improvement that can be tracked without inventing a precise environmental saving.

## Examine packaging and consumption records

Discuss whether a workable returnable or reduced-packaging arrangement exists and who manages it. Check storage, handling and replenishment responsibilities before adopting the proposal. A system that cannot function at the customer's premises may create extra waste or administration despite an attractive description.

Where usage records are available, compare them with occupancy and scope changes. Lower consumption alone does not prove improvement if tasks were omitted; higher use may reflect a larger service area. Interpret the figures alongside the delivered standard rather than rewarding one number in isolation.

## State the purchasing conclusion precisely

Describe the verified features that influenced the decision and any remaining uncertainty. Agree a small number of relevant records to review during the contract. Avoid unsupported claims that one contractor is the greenest or that a single product choice proves total impact. A specific, evidence-based requirement is easier to maintain and verify than a general sustainability promise in the proposal.
