## Start with the planned production requirement

Use the menu, production plan or relevant demand forecast to identify the ingredient range and expected quantities. State the assumptions and the period covered. Where demand is uncertain, show scenarios rather than present a single precise forecast without evidence.

Review historical purchases alongside stock movements and waste records where available. Invoice quantities alone do not establish consumption, because some stock may remain unused, be returned or have been bought for a one-off requirement.

## Identify pack and order constraints

Record case quantities, minimum orders, delivery charges and the buyer's available storage. Ask whether changing the order frequency or consolidating selected items would improve the result without compromising the operation's controls.

For example, a larger spice pack may lower the purchase price per kilogram but be poorly matched to a small production line. The kitchen should assess handling and consumption before purchasing treats the pack-size discount as a confirmed budget improvement.

## Separate price movement from specification change

When a trader proposes a new price, confirm that the product and pack remain the same. A lower quotation achieved through a different formulation or quantity should be evaluated as a product change, not automatically recorded as a saving.

Agree the process for price updates and the evidence needed under the commercial arrangement. Avoid making financial forecasts depend on unconfirmed supplier promises about future commodity prices or exchange rates.

## Review actual use and exceptions

Compare purchases, accepted deliveries, returns and usable closing stock over the same period. Investigate material differences with the kitchen and food-safety teams. A reduction in spending may reflect reduced production, while an increase may reflect a planned stock build or an avoidable ordering error.

Use findings to adjust order frequency, pack selection and forecasting responsibilities. Keep an explicit owner for approving exceptional purchases during shortages or demand changes. A useful budget explains why the business expects to buy a quantity and how it will prevent unnecessary stock, rather than only setting a monthly spending limit that encourages hurried substitutions when the allocation runs low.
