Property requirements often evolve as the buyer sees options and learns more about the market. A change can be sensible, but it should be explicit. Otherwise, the agency may continue searching against one brief while different stakeholders evaluate results against another.

## Identify the decision behind the change

State which requirement is changing and why. Distinguish a preference adjustment from a change in intended use, location or transaction scope. Confirm that the appropriate internal owner has approved the revision before asking the agency to act on it.

Explain whether the change applies to all current options or only to future submissions. This prevents a property already under review from being judged against an unstated requirement after significant work has been completed.

## Assess the effect on the appointment

Ask the agency how the revision affects its work, timetable and proposed scope. Have any material commercial or contractual change reviewed through the normal process. Do not assume that a substantially different instruction is covered by the original fee proposal.

Identify whether new specialists or authority enquiries are needed. A change in property use or type can alter the questions that must be resolved before proceeding, even if the desired location stays the same.

## Reassess the shortlist consistently

Issue a dated brief and review each current option against it. Record whether the property still qualifies, needs further information or should be removed. Keep the earlier decision history so the team understands why an option was previously considered.

For example, an organisation may revise its space requirement after changing its operating model. The agency should not simply send larger properties while leaving layout and access assumptions unchanged. The revised brief should explain what the extra space must enable.

## Close the communication loop

Confirm that the agency and internal reviewers are using the same version. Update the submission format if the new requirement needs different evidence. Agree when the next shortlist review will occur and what it should resolve.

A controlled change process does not freeze the search. It allows the team to learn while keeping instructions, commercial expectations and evaluations aligned. Repeated changes without a decision owner may signal an internal planning problem that no agency can solve by increasing the number of listings it sends.
