Commercial furniture orders become difficult when appearance is approved without enough information about dimensions, materials and delivery. The most avoidable mistakes occur before manufacturing or dispatch, when changes are still easier to manage.

## Buying from an image alone

Clarify whether the photograph shows the exact product or only a style reference. Record dimensions, materials, finish and relevant fittings. Ask the responsible designer or technical owner to assess suitability for the intended use.

A similar-looking alternative may differ in construction, care or project evidence. Do not let a broad description such as premium finish replace an identifiable specification and approved sample where needed.

## Forgetting the route into the room

Check doors, lifts, turning space and assembly requirements with the site team. An item can fit the floor plan while being impossible to deliver through the intended access route. Confirm who measures and who accepts the resulting assumptions before manufacture.

For example, a large table may need to be assembled inside the room. If the quoted product arrives as one piece, the delivery plan may fail even though its final dimensions are correct.

## Treating delivery as complete installation

Specify unloading, assembly, positioning, fixing where applicable and packaging removal. Give the supplier room or location labels and a current item schedule. A pile of cartons is not a usable workplace or furnished apartment.

Record missing parts, finish differences and damage through a snag process. Separate package receipt from functional acceptance, and keep the supplier's next action visible until the item is properly resolved.

For a package of related items, review the combination rather than approving every piece separately. Table clearances, chair movement and storage access can each appear acceptable in isolation while the installed arrangement leaves too little room for the intended use.

## Losing control of samples and changes

Label approved finishes and retain current drawings. Record who can approve substitutions and what happens after manufacture begins. Informal changes made by different people can produce a room package whose items no longer work together.

At handover, retain product identifiers, care information and support contacts. Use the completed-order review to improve future specifications and delivery planning. The objective is furniture that fits the space and can be maintained, not merely an attractive purchasing total that excludes the practical decisions needed to make the items usable.
