## Buying attendance instead of an outcome

A call-out charge may cover travel and assessment rather than a completed repair. Ask what the supplier commits to deliver and what remains conditional on diagnosis or parts. Avoid comparing an attendance-only price with a quotation for a defined replacement.

Send photographs and the repair history where available, but acknowledge their limits. A remote image can help identify a fitting without proving the cause of its failure. Insisting on certainty too early can encourage unhelpful assumptions on both sides.

## Letting the occupant become the purchasing authority

Residents, store staff and reception teams may be able to provide access without being authorised to approve extras. Tell the contractor who can make commercial decisions and how to reach that person during the appointment. Give occupants the same information so they are not pressured to resolve an unexpected quotation at the door.

Link repeat complaints to the original work. Creating a new ticket for every symptom can make an unresolved fault look like several successful jobs and obscure the cost of repeated attendance.

## Expanding the scope without reassessment

A contractor who repairs cabinet hardware well has not automatically demonstrated competence for electrical changes, major plumbing work or structural intervention. Maintain clear task boundaries and use the appropriate specialist or building approval process when the work changes.

Keep the accepted quotation, variation decisions and completion record together. This need not become an elaborate administration exercise: the purpose is to preserve the few facts that matter when the repair fails, the invoice differs or another technician attends later. Clear purchasing decisions make small maintenance jobs easier to complete and easier to learn from across the property portfolio.
