Building-material purchases become difficult when the order does not preserve the project's exact specification, units and approval status. A trader may deliver something that resembles the request while the site cannot use it. Clear product records and technical responsibility prevent many of the disputes that otherwise emerge only after unloading.

## Buying a category name instead of a product

State the manufacturer reference or relevant specification, grade, dimensions and intended application. Require alternatives to be identified separately. Similar material families are not automatically interchangeable, and purchasing should not make technical approval decisions from availability or price alone.

For example, a readily available finishing product may require a different related component or preparation method. The qualified project team should assess the system before the buyer treats the alternative as a simple replacement.

## Comparing inconsistent units

Check pack contents and convert quotations to the agreed project quantity transparently. A box, bag or pallet can contain different amounts across offers. Keep rounding and allowances visible and obtain the responsible team's approval of quantity assumptions.

Repeat the unit check on deliveries and invoices. A correct quotation comparison can still be undermined if a later order uses an abbreviated description that loses the original conversion.

## Ordering before the site is ready

Align stock allocation and delivery with approvals, access and storage. A bulk discount may create avoidable handling or damage if the material arrives too early. Conversely, a provisional sourcing promise should not be treated as confirmed availability for a critical work stage.

Ask who unloads and how partial orders are labelled. A low-cost missing item can delay completion even when most of the shipment has arrived.

Keep the accepted sample or a suitable labelled reference available to the inspection team where visual matching matters. A colour remembered from an early meeting is a weak basis for resolving a disagreement about a delivered finish.

## Treating receipt as permission to install

Keep product documents, batch records and technical release linked to the delivery. Hold unresolved discrepancies under the site's procedures and obtain the relevant review. A signature acknowledging packages should not erase a mismatch or missing evidence.

Review returns, surplus and urgent reorders together to improve the next purchase cycle. The aim is a predictable flow of approved, identifiable material to the work area, rather than a low purchasing total that leaves the site to solve specification and documentation problems under programme pressure.
