## Establish the exact offered item

For example, a special-sourced item may have a restrictive return arrangement. The buyer should understand that commitment while technical questions can still be resolved, not after ordering several possible components to see which fits.

## Include core and additional costs

Where an exchange is involved, separate the replacement price, core deposit or charge, and the conditions for credit. Record the required core identity and return process. Ask what happens if the returned component is assessed differently from the buyer's expectation.

Include delivery and any other agreed charges in the comparison. Do not treat a potential future core credit as already received when calculating the committed cash outlay.

## Record the qualified decision

Have the appropriate workshop owner approve the selected option and retain the supporting evidence. Purchasing should document the price and terms without implying that the cheapest or newest label automatically determines the technically correct choice.

At receipt, compare the delivered item with the accepted option and keep mismatches separate from usable stock. The comparison is complete when the garage understands the exact component, condition, support and financial commitment it has accepted, rather than when a spreadsheet ranks several prices for parts that were never established as equivalent.
