## Identify the service being priced

Ask each agency to describe the work included: search, introductions, viewings, negotiation support, document coordination or another defined service. Record what the buyer must arrange separately and whether third-party costs are included, excluded or merely estimated.

Confirm the proposed contracting entity and who will perform the work. Where several agencies or intermediaries are involved, request an explanation of their roles and any commercial consequences for the buyer. Have the proposed appointment reviewed before assuming that the quotation is the complete agreement.

## Compare payment triggers and changes

Identify the event that creates the fee obligation and the basis of calculation. Ask what happens if the search changes, the buyer pauses the instruction or a transaction does not proceed. These are contractual questions whose significance depends on the actual terms; obtain qualified advice where necessary.

Clarify whether the proposal includes exclusivity, introduction-related conditions or other continuing obligations. Avoid reducing a complex appointment to the headline fee while leaving those conditions outside the approval record.

## Use the same transaction assumptions

Give shortlisted agencies a common scenario so their commercial responses can be compared fairly. If one proposal covers a broader scope, separate the additional work instead of treating the higher total as evidence of poor value.

For example, one agency may quote for identifying properties and arranging viewings, while another includes a more extensive coordination role. The buyer should decide whether that extra work is needed and whether the agency can perform it. A lower fee is not necessarily a saving if the missing tasks must be purchased elsewhere.

## Record the agreed basis before work progresses

Resolve material ambiguities in writing and retain the approved proposal with the appointment. Ensure that the internal team understands which requests could change the scope or create additional commitments.

When an invoice arrives, reconcile it with the agreed trigger, scope and calculation. If there is a dispute, use the documented agreement and appropriate advice rather than relying on recollections of a sales conversation. A clear fee comparison protects the quality of the sourcing decision and makes the subsequent relationship easier to administer.
