If it remains an informal workaround, the immediate installation may succeed while future maintenance becomes harder and the commercial record becomes unclear. ## Start from an approved site instruction Keep the design, bill of materials, configuration basis and known site assumptions together. Identify who may approve a technical variation and who may approve additional cost. A local employee providing access should not automatically become authorised to change the design or purchase extra work. Mark information that still requires survey. An assumption is not a confirmed specification, and the supplier should report a material difference before committing to a revised installation method. ## Describe the technical effect For each change, ask the integrator to identify the affected devices, functions, dependencies and tests. Have the authorised technical reviewers assess suitability. Procurement should ensure the decision is recorded without substituting a commercial preference for technical approval. Consider a hypothetical branch where the physical layout differs from the original plan. The supplier proposes a different equipment position and connection route. The change record should explain why, what it affects and how the final result will be checked. It should not consist only of a photograph sent after the installation is complete. ## Keep the price and schedule connected Ask the supplier to distinguish correction of its own error from a buyer-requested change or a genuinely new site condition. Request the effect on equipment, attendance, cutover timing and support before approving additional work. Urgent operational decisions still need a traceable record. Identify who gave the instruction and reconcile it promptly into the formal change process. Avoid allowing a series of small informal requests to become a substantial unreviewed expansion of the project. ## Update the support record After approval, revise the active site instruction, central topology, asset list and configuration record as applicable. Mark superseded versions and inform the teams performing later installations. A branch-specific difference should remain identifiable so that another engineer does not unknowingly overwrite it with the standard configuration. At acceptance, test against the revised baseline and record any remaining deviation. Keep rejected changes with their rationale so they do not reappear without context.
