Ship-agency due diligence should establish the agent's role, local capability and controls over instructions and disbursements. A broad shipping-company profile does not show whether the proposed team can support a particular principal at a particular port. Review the actual appointment with competent marine, commercial and legal input rather than treating the agency as a generic logistics supplier.

## Verify the entity and representation arrangement

Identify the contracting agent, appointing principal and any related or subcontracted businesses involved. Ask the agency to describe other interests it may represent in the call and the process for handling potential conflicts. Qualified advisers should assess the appointment terms and authority relationships relevant to the matter.

Request the official verification routes for the agent's business and port-specific activities. Requirements depend on the service and location. Do not assume that a commercial licence for one activity establishes permission to perform every specialised marine service the agency may arrange.

## Examine the operating team and network

Ask who will handle the call, how shifts are covered and which services depend on external providers. Seek references for comparable ports and call types. A nationwide network claim should distinguish the agency's own offices from partners and explain how accountability is maintained.

For example, an agency may appoint a local partner at a port where it has no permanent team. The principal should know who receives instructions, approves expenditure and supplies final-account evidence. The prime agent's involvement should not leave those responsibilities ambiguous.

## Review identity and financial controls

Use reliable vessel and company identifiers where applicable to reconcile the appointment record. IMO publishes its identification schemes and lookup information. A matching identifier supports identity checks but does not establish operational suitability or financial standing.

Review funding requests, bank-instruction verification, expenditure approval and voucher controls through the principal's established processes. Ask how changes are authenticated and how unused funds, credits or late charges are handled. Avoid granting unrestricted commercial authority merely because decisions may be needed quickly during the call.

## Keep approval port and scope specific

Record the evidence, reviewers, limitations and open conditions. Revisit relevant checks when the principal, port, operating partner or service scope changes. Use the first appointment to verify the proposed process in practice. Due diligence should explain the agency arrangement the principal is relying on, without implying a guarantee of clearance, berth availability or the performance of all third parties involved in the vessel's call.
