## Establish who accepts the commitment

Match the property's name and address to the proposal, contract and invoice arrangement. Ask the signatory to explain its authority and the relationship between owner, operator and brand where those differ. Resolve unexplained changes in contracting entity before paying a deposit or distributing booking instructions.

Verify payment details through a trusted property contact and an independently established channel. Treat a last-minute request to redirect funds as a separate verification issue. Keep the confirmation record with the approved contract so accounts staff do not rely on forwarded email alone.

## Inspect the actual service footprint

Visit the proposed room category and meeting spaces. Ask which areas will be operating during the intended dates and whether refurbishment, private events or service restrictions could affect the group. Obtain written confirmation of material limitations rather than accepting a general assurance that the property is fully operational.

For a room block, review the inventory schedule and hold conditions. For a retreat, identify who supplies activities, production equipment and transport. Confirm the contract boundary for each service and whether the company must appoint an external supplier directly.

## Test operational evidence

Request an anonymised event order or account report from a comparable programme. Examine whether it connects guest numbers, room allocations, catering and billing instructions. A useful sample shows the hotel's method without revealing another client's personal or confidential information.

Meet reservations, event operations and finance contacts. Ask how a change moves between those teams and how the buyer receives confirmation. If each department keeps a different version of the programme, require a clear reconciliation method before committing significant spend.

## Resolve material uncertainty

Check current property licensing and classification through the appropriate tourism authority, using the supplier's details as the starting point. Have qualified reviewers assess unusual contractual liabilities or event requirements. Record which questions are resolved, which remain conditional and who accepts any residual commercial risk. Due diligence is complete when the purchasing team can explain the actual commitment and its limits, not when it has collected a large folder of documents that nobody has matched to the booking.
