Document-production due diligence should establish where files are processed, who checks the output and whether another organisation performs part of the work. The buyer needs a clear account of responsibility for versions, accuracy and information handling. A supplier's ability to produce an attractive sample does not answer those operating questions.

## Trace the actual job route

Ask the provider to explain intake, preparation, approval, production, checking and delivery for the service being purchased. Printing may involve external finishing; typing may use an additional processing team. Identify what each participant receives and who remains accountable to the buyer.

Reconcile the contracting and invoicing entity and obtain an explanation for differences. A partner arrangement can be legitimate, but the buyer should not discover an unfamiliar delivery organisation only after sensitive documents have been transferred.

## Inspect version and approval controls

Request a blank or redacted job ticket and proof-approval example. Check how the provider connects the source version with the accepted output. A filename alone is weak evidence if several attachments can circulate under similar names.

For typing, ask how source references and unresolved fields are preserved. The provider should return uncertainty to the buyer rather than silently interpret facts outside its agreed role. Review how corrections enter the active output without leaving conflicting versions in use.

## Follow an error through correction

Use a hypothetical print batch produced from an outdated file or a typing batch with a repeated field error. Ask who investigates, what evidence is used and how the correction is approved. The answer should include prevention of recurrence, not only a promise to replace the affected item.

Identify whether a supplier-error correction is commercially distinct from a buyer-requested revision under the accepted terms. Clear treatment helps avoid a quality issue becoming an unexplained additional charge.

## Review information handling proportionately

Ask what access, transfer and retention arrangements apply to the material. Use the buyer's relevant policies and contract, and avoid requesting another client's confidential records as proof. A sanitised demonstration can show the process without unnecessary disclosure.

Confirm that final editable files or other outputs are included where required and clarify rights through the agreement. Do not assume every production asset automatically belongs to the buyer.

Record findings as a defined approval, condition or need for a pilot. Reassess when the service type, subcontractor or sensitivity of the source changes. Due diligence should establish a usable production chain for the actual purchase, not produce a broad certificate of trust covering every document the supplier might later be asked to handle.
