Event agencies often assemble specialist production teams for each assignment. Due diligence should reveal who is behind the proposed delivery plan and how the agency controls their work. A portfolio photograph may show a successful event without establishing which part the agency performed or whether the same team is available for the new programme.

## Identify the contracted delivery role

Reconcile the proposal, agreement and invoicing entity. Ask whether the agency is providing full coordination, creative work or a limited production service. List buyer-retained responsibilities so the review focuses on the work actually being purchased.

Request the proposed project lead and major partner roles. The buyer need not control every subcontractor, but should know who supervises them and who remains accountable if a partner fails or is replaced.

## Examine planning evidence from comparable work

Ask for sanitised examples of a production plan, run sheet and change record. Check whether they show decisions, dependencies and accepted revisions rather than only a polished event summary. Protect previous clients' guest information and commercial details; redacted evidence is usually sufficient to assess the process.

Establish the agency's contribution to portfolio events. A team that supplied décor should not be credited automatically with managing speaker coordination, technical production and venue operations for the whole programme.

## Follow a supplier change through the plan

Use a hypothetical technical subcontractor replacement shortly before setup. Ask who assesses suitability, checks the revised scope and updates the venue and buyer. Identify whether the replacement changes cost, equipment or rehearsal needs.

A useful answer shows a controlled response and acknowledges limits. A promise that every partner is interchangeable does not explain how the agency preserves the approved production requirement.

## Review asset and information responsibilities

Identify who receives buyer-supplied products, content and guest information, and what each participant needs. Agree appropriate access and transfer controls. Ask how final assets and working materials are handled under the contract rather than assuming the buyer owns or may reuse every item shown in a pitch.

Turn findings into a clear award condition, additional verification or bounded first assignment. If a critical capability rests with one individual, ask how the event continues during absence and who can retrieve the current plan.

Retain the scope and evidence behind approval. A successful due-diligence review supports this event's delivery arrangement; it does not guarantee every future programme or establish that all advertised specialist services have been reviewed. Reassess material changes in venue, partner team or production scope before treating the original approval as sufficient.
