Procurement should organise evidence while competent specialists assess operational suitability and relevant technical requirements.

## Reconcile the provider and service scope

Identify the contracting entity and compare it with the invoice and proposed delivery team. Ask which activities are performed directly and which rely on partners. A subcontracting arrangement should have clear accountability rather than leave the employer to negotiate separately when an issue occurs.

Verify relevant company and personnel requirements through the appropriate official route for the actual location and activity. Do not treat one approval or a general commercial registration as evidence for every service advertised.

## Examine supervision and continuity

Ask who manages the contract, who supervises delivery and how current instructions are maintained. Identify the backup when the normal lead is unavailable. A service dependent on one person's memory creates a continuity concern even if the initial relationship is strong.

Request sanitised examples of reporting and corrective-action records. The buyer can assess the process without obtaining another client's confidential incidents, access details or protective arrangements.

## Follow a controlled issue through the chain

Use a hypothetical maintenance or authority-checking question and ask how it reaches the appropriate decision-maker. Identify who coordinates with the employer, building manager and specialist partners. The answer should preserve the competent review needed for the service rather than promise an immediate operational change in every case.

For an access or configuration request, ask how the supplier checks the requester's authority. Convenience should not allow an informal employee instruction to override the employer's approved process.

## Assess information and record controls

Ask what personal or site information the provider needs and who may access it. Agree handling through the employer's policies and contract. Sensitive operational detail should not be distributed broadly merely because the supplier uses a standard onboarding folder.

For systems support, confirm the current asset and technical-record handover expected after work. Relevant changes should remain understandable to authorised staff rather than exist only in a technician's private notes.

Record gaps as a clarification, pilot or award condition. Reassess when the provider, personnel, partner or service changes materially. The due-diligence record should state the scope reviewed and its limits. It supports an accountable supplier choice but does not guarantee prevention of every incident or replace the employer's continuing duty to obtain competent safety and security management for the workplace.
