Furniture acceptance should establish that each item matches the approved specification, works as intended and is placed in an agreed condition. A delivery note may confirm that packages arrived without establishing the finished result. Keep receipt, assembly, inspection and commercial closure distinct so missing items and defects remain visible.

## Reconcile the item schedule

Check quantities, product references and room or location labels against the current approved order. Record partial deliveries and accepted substitutions. Keep the schedule updated so the site team does not lose track of an item that has been invoiced but remains undelivered.

For custom pieces, compare the relevant dimensions and drawing references. A product name alone may not identify the specific version manufactured for the project.

## Inspect finish and function

Use the approved samples and acceptance criteria. Record visible damage, finish differences, missing fittings and functional concerns. Have the responsible designer or technical reviewer assess issues within their remit rather than rely on a general impression that the room looks complete.

For example, a cabinet can appear correct when closed but have a drawer that clashes with an adjacent item. Functional checks should reflect how the furniture will actually be used in the installed arrangement.

## Record defects and temporary actions

Create a snag record with the item, location, observed issue, evidence and responsible supplier contact. Distinguish a temporary repair from the agreed final remedy. Do not allow an informal promise to return later to become the only record of an unresolved item.

Clarify whether affected furniture can be used while awaiting correction through the appropriate responsible reviewer. Purchasing or reception staff should not make unsupported technical judgements to close the delivery quickly.

Photograph the final location where that helps identify a piece later, and connect the image to the item reference. A general room photograph is less useful if several visually similar products have different sizes, finishes or replacement components.

## Complete the operating handover

Obtain care instructions, relevant product identifiers and after-sales contacts. Confirm the treatment of spare parts, excess materials and packaging. Reconcile accepted quantities and outstanding work with the commercial team under the actual contract.

Retain final drawings or item records where they support maintenance and replacement. A complete handover lets the operator identify what is installed and how to obtain help. It should not leave staff to reconstruct the specification from photographs when a component fails or a matching item is needed later.
