Hotel group quotations often use different pricing units: per room, per person, per delegate or per package. A fair comparison converts each offer into the actual stay and meeting schedule while preserving its conditions. Otherwise an apparently cheaper property may simply exclude breakfast, technical support or the final evening's rooms.

## Build one reference itinerary

Use the same arrival dates, nightly room quantities, occupancy and departure pattern for every quote. Add meeting hours, meal counts and setup periods. Show optional elements separately so a property's attractive upgrade does not obscure the cost of the requirement you actually need.

Check the offered room category and meeting-room identity. Two quotations can contain the same quantity while proposing materially different accommodation or layouts. Record whether an alternative is acceptable and ask the property to confirm it in writing before treating the offers as equivalent.

## Recalculate the complete charge

Separate accommodation, venue hire, catering, equipment, staffing and other quoted charges. Apply each supplier's stated pricing basis carefully and ask about unexplained totals. Identify taxes and fees as shown in the proposal, and have finance review their treatment rather than assuming every property uses an identical presentation.

Inspect package minimums. A delegate package priced for a minimum attendance may remain payable when fewer people attend. A complimentary meeting room may depend on a room-night commitment. Include these conditions in the comparison, since the headline unit price cannot explain the full exposure.

## Price realistic changes

Model a smaller group, a late cancellation and additional rooms on the busiest night using each offer's written terms. Do not invent a common cancellation policy. Ask hotels to clarify ambiguous wording and retain the answer with the evaluation.

Consider payment timing and administrative work. A property that requires individual traveller settlement may not fit a company needing a consolidated account. Compare the effort and practical consequences of the proposed process rather than assigning a vague premium to flexibility.

## Resolve exceptions before ranking

Create an exception list for unavailable dates, unconfirmed room holds and excluded services. Separate confirmed commitments from items still subject to availability. Present the final recommendation as cost plus operational fit, with the trade-offs stated plainly. The preferred quotation should remain understandable to reservations, event operations and accounts after the sales discussion ends, so the price comparison becomes an accurate basis for delivery rather than a spreadsheet that hides unresolved assumptions.
