Training changes can affect learning objectives, cohort suitability and the evidence of completion. Adding learners or shortening a course is not always a simple scheduling adjustment. The employer and provider should assess what the revision means for practice, feedback and the agreed outcome before treating the programme as unchanged.

## Keep an approved learning baseline

Retain the objectives, learner profile, trainer, delivery format and materials accepted at award. Identify the employer contact authorised to change content and the person who may approve additional cost. A manager's suggestion should not automatically become an instruction to redesign the course.

Mark assumptions about learner prerequisites and the training environment. If those facts change, the provider should identify the effect rather than continue with a design built for another group.

## Assess the learning consequence

For a hypothetical larger cohort, ask whether the same exercises and feedback remain practical. A reduced delivery fee per learner may come with less individual practice, which should be visible in the decision. Do not assume the original assessment remains meaningful without review.

For a shorter schedule, ask what content or activity is removed and whether the remaining course still meets the objective. An updated agenda should reflect an intentional trade-off rather than compress every topic into less time without explanation.

## Control trainer and environment substitutions

Require relevant evidence and approval for a substitute trainer. If delivery moves online or to another software environment, review access, exercises and learner support. The format change may affect more than the venue charge.

Keep confidential examples and learner information within the employer's agreed controls. A new platform or recording arrangement should not silently expand access or permitted reuse.

## Update the active programme and account

After approval, revise the learner communication, course plan, materials and assessment description. Ensure the trainer works from the accepted version. Preserve withdrawn or rejected requests where they could otherwise reappear as assumed requirements.

Record the commercial effect and distinguish provider-error correction from buyer-requested change under the agreement. At handover, reconcile delivery against the revised objectives and retain limitations in the completion record.

Use recurring changes to improve future planning. If cohorts repeatedly have different experience from the brief, assess prerequisites earlier. If scheduling cuts practice time, reconsider the format rather than continue calling the programme unchanged. A controlled change process preserves the connection between training expenditure and the work employees need to learn, while keeping claims about completion and capability accurate.
