A furniture change can affect appearance, fit, manufacturing and related items in the room. Approving a new finish or dimension informally can leave the supplier working from one version while the designer expects another. Use a controlled change record before manufacture or dispatch is altered.

## Identify the exact revision

State the item, quantity, drawing or sample reference and reason for change. Keep the original approved specification available. Distinguish a buyer design preference from a supplier proposal caused by availability or production constraints.

For example, changing a table dimension may affect seating clearances and the number of chairs. The revision should be assessed as part of the room arrangement, not only as an isolated alteration to one product.

## Review technical and visual effects

Have the designer or appropriate reviewer assess material, finish, function and any project evidence affected by the change. A fabric substitution may require more than matching a colour, and a different surface finish may change care requirements.

Where a sample or drawing is needed, obtain it before approval. Do not treat a verbal description or a low-resolution image as equivalent evidence when the original selection depended on a physical sample.

## Request the programme and cost impact

Ask the supplier what has already been ordered or manufactured, which work must be changed and how delivery is affected. Have the commercial owner review the proposed charge or credit under the agreement. A change described as an upgrade still needs a clear purchasing decision.

Confirm whether other items, packaging or installation arrangements are affected. A larger piece may require a different access route even when it fits the final room.

Ask the supplier to confirm whether the approved physical sample will remain available during production and final inspection. If it must be returned, agree an adequate reference method so the receiving decision does not depend on a colour remembered from an earlier meeting.

## Issue one accepted version

Record the authorised specification and communicate it to manufacturing, delivery and receiving teams through the agreed channel. Mark superseded drawings and samples clearly. The supplier should acknowledge which version it will produce or dispatch.

At delivery, inspect against the revised baseline and retain the change history for maintenance or future matching orders. A controlled process lets the design evolve without losing traceability. It prevents the finished space from becoming a collection of individually approved changes whose combined effect nobody reviewed before the furniture arrived.
