## Track the booking experience

Review amendments and cancellations against their acknowledgements. Count cases where the booking team must chase repeatedly or where the traveller receives conflicting instructions. ## Examine the stay with context

Collect concise feedback on the features important to the programme, such as room suitability, arrival handling and access to the work destination. Invite descriptions of issues rather than collecting unnecessary personal details. Route individual complaints appropriately and avoid exposing guest information in broad supplier-review reports.

Separate recurring failures from isolated preferences. If multiple travellers report the same billing instruction missing at reception, investigate the account setup. If one guest expected an unconfirmed upgrade, clarify the communicated entitlement instead of treating it as a contractual service failure.

## Reconcile commercial delivery

Compare billed nights, inclusions and credits with the approved bookings. Track the value and age of unresolved disputes and the number of corrected invoices. For groups, compare room-block pickup with the final stay record and examine unexplained differences.

Review spend by property and booking pattern, not only average room rate. Additional transport costs, unused commitments and manual administration may explain why a low nominal rate delivers poor value. Use the written agreement when assessing changes rather than assuming a standard hotel policy.

## Turn findings into decisions

Choose a small set of measures the property can report consistently. Agree corrective actions with owners and evidence of completion. Reassess the account after meaningful changes in travel demand, hotel management or service scope. A useful scorecard helps decide whether to expand, narrow, renegotiate or replace the arrangement. It should make operational weaknesses visible while preserving a fair distinction between hotel performance, company forecasting errors and traveller requests outside the agreed service.
