# Measuring a workshop parts trader's delivery performance

A parts supplier should be measured on exact-order fulfilment and the resolution of exceptions, not only delivery speed. A quickly delivered wrong.

A parts supplier should be measured on exact-order fulfilment and the resolution of exceptions, not only delivery speed. A quickly delivered wrong reference can delay a repair more than a transparent later commitment for the correct item. Review performance with the parts counter and qualified workshop team together.

## Define a correct delivery

Compare the item, condition, source description and quantity with the accepted offer. Record approved substitutions separately from unreviewed differences. A part that fills the order line numerically should not count as complete if its suitability remains unresolved.

Preserve the workshop's technical enquiry and any clarification history. A mismatch may result from incomplete vehicle information as well as supplier error, and the review should identify the evidence before assigning responsibility.

## Track availability and communication

Measure delivery against confirmed stock and timing commitments, not a provisional estimate that was never accepted as firm. Record how early the trader warned of shortages or source changes. Useful notice can allow the garage to replan a job even when the original item becomes unavailable.

For example, a trader may report high dispatch performance while repeatedly changing the offered condition after order. The service review should make those changes visible rather than count every parcel as successful fulfilment.

## Review return and core closure

Track wrong-item returns, fault assessments and exchange-core credits with their relevant dates and next actions. Distinguish the supplier's response from a technical assessment that requires evidence. Keep physical collection and financial closure separate.

Look for recurring issues by part family or sourcing route. Do not infer a product defect or authenticity problem from incomplete data; refer material technical concerns to qualified investigation.

## Use the results to refine the approved range

Identify categories the trader handles well and areas requiring tighter enquiry or receiving controls. A supplier may be dependable for routine consumables but less suitable for special-sourced mixed-condition assemblies. Preserve that distinction rather than rely on one overall score.

Agree specific actions such as clearer condition descriptions, earlier availability confirmation or a core-return register. The objective is a more predictable repair supply process, with technical decisions supported by accurate information. A useful review reduces avoidable returns and uncertainty rather than rewarding rapid delivery while the garage repeatedly absorbs the cost of correcting the order.
