An event scorecard should assess the planning and production responsibilities the agency actually controls. Attendance and satisfaction can be relevant, but they may depend on the organiser's invitation strategy, programme choices and audience decisions as well. Use a balanced record that connects readiness, delivery and closeout with the purchased scope.

## Measure readiness before event day

Track whether required plans, supplier confirmations and decision requests arrive with enough usable information. A document submitted on time should not count as complete if it leaves critical dependencies unowned. Define what the buyer needs to review and approve.

Record late buyer inputs separately from agency delays while preserving the agency's responsibility to flag their effect. A fair scorecard distinguishes cause without allowing a known dependency to disappear from the readiness discussion.

## Review programme execution and recovery

Compare the event with the accepted run sheet and authorised changes. Identify significant deviations and their effect on the audience or organiser. Avoid counting every minor timing difference as equivalent to a material session or technical failure.

For a hypothetical conference interruption, review who recognised the issue, coordinated the response and communicated the decision. A good recovery is valuable evidence, but it should not erase a preventable readiness gap that caused the interruption.

## Use feedback within its limits

Collect attendee or stakeholder feedback relevant to the event objective and retain the context of the sample. Do not present a small set of favourable comments as proof that every participant had the same experience. Separate feedback about content controlled by the organiser from service elements managed by the agency.

Ask internal delivery colleagues how much unplanned work they supplied. An event can appear seamless to guests while relying on substantial buyer intervention. That effort matters when deciding whether the agency's service model fits future programmes.

## Include closeout and commercial accuracy

Track final-file delivery, return of agreed items and reconciliation of authorised charges. A supplier should not receive a complete-performance assessment while material closeout obligations remain unresolved.

Use the review to change the next production plan or supplier allocation. Set a specific corrective action and verify it at the next readiness milestone. If the same issue returns at each event, revise the method or commercial arrangement rather than repeating a generic request to improve.

Retain the event's scale and scope behind the score. Strong performance on a straightforward internal meeting does not automatically prove capability for a technically complex launch. The scorecard should support an evidence-based selection for the next programme rather than produce a celebratory rating detached from the agency's actual contribution.
