A broad promise to handle everything is less useful than an agreed boundary between routine repairs, diagnosis and work requiring separate authorisation.

## Turn the first property into a working brief

Walk the contractor through the property with the person who receives maintenance requests. Record room names, shut-off locations that the contractor is authorised to use, access restrictions, working hours and areas that must remain available. Obtain the building manager's current work requirements rather than assuming that an appointment with the resident permits every proposed activity.

Create a small asset register covering the fittings the contractor will routinely encounter: door hardware, taps, cabinet hinges, curtain tracks and other relevant items. Photographs and model details help the technician arrive with suitable parts. Do not include security credentials in a document distributed to every potential technician.

## Establish a repair authority matrix

Separate tasks that can be completed under a routine work order from tasks requiring a quotation or specialist referral. Specify whether the contractor may purchase replacement parts, the approval route for additional work and the evidence required before a repair is closed. The approval rule should apply to the total job, not allow a large repair to be divided into several small invoices.

Ask who supplies technicians and whether subcontractors may attend. Record the contact who confirms personnel changes and the process for checking attendance with reception or security. A familiar company name is not sufficient identification for an unfamiliar person arriving at an occupied apartment.

## Test the whole request-to-close process

Use the first small job to test appointment confirmation, arrival, protection of finishes, diagnosis, approval, completion and cleanup. For example, a sticking cupboard door may need hinge adjustment rather than replacement. Ask the technician to explain the diagnosis, record the approved action and demonstrate the result to the property representative.

The test is incomplete if the repair works but the contractor leaves debris, damages a nearby finish or sends an invoice that cannot be matched to the work order. Agree how those exceptions will be recorded and corrected.

## Approve a defined operating scope

Retain the access instructions, service contacts, task boundaries, initial job record and unresolved actions. Approve the contractor for the work actually assessed. A successful cabinet repair does not establish competence for electrical alteration, major plumbing work or structural intervention. Expand the scope only when the additional competence, permissions and operating arrangements have been established.
