Managed IT onboarding should establish what the provider will operate, what access it needs and how responsibility transfers from the current team. A signed support contract does not mean every device, account or application is covered. Build an agreed service inventory before the supplier begins making changes to the environment.

## Establish the supported baseline

List users, devices, business applications, cloud services and locations within scope. Identify owners, existing support arrangements and known unresolved issues. Separate systems the new provider will manage from those it only helps coordinate with another vendor.

Ask the provider to validate the inventory with the organisation's technical owner. An incomplete list can create gaps in monitoring, renewal or support, while an uncontrolled discovery exercise can expose information beyond the agreed need.

## Transfer access through approved controls

Have the responsible IT or security team define named accounts, permissions and the approval process. Avoid handing over shared credentials in ordinary email or assuming that the supplier needs unrestricted access to every system. Record who can approve changes and how supplier access will be reviewed or removed.

Confirm ownership of administrative accounts, domains, subscriptions and configuration records. The business should retain appropriate control of its environment rather than discover at exit that essential services depend on a supplier employee's personal account.

## Test the service workflow

Run a representative support request, a user change and an approved operational check before declaring the service fully active. Confirm how tickets are raised, prioritised, escalated and closed. Have the technical owner determine any testing that could affect live systems.

For example, a new employee request may require approvals from HR, the line manager and IT. The provider should know which permissions are authorised rather than copy another employee's access without review.

## Close the transition with evidence

Record the supported baseline, access approvals, known issues, monitoring responsibilities and emergency contacts. Identify work still dependent on the outgoing provider and assign owners and dates. Do not label the transition complete while a critical subscription or recovery record remains inaccessible.

Review the first reporting period with users and the technical owner. Approve the service scope actually established and control later additions through the agreed process. A clear onboarding record makes support more dependable because the provider and business share the same understanding of what is managed and who decides when that scope changes.
