Onboarding a financial-services provider should establish the exact service, contracting entity and movement of instructions, funds or records. A sales presentation may combine payment technology, regulated services and administrative support that different organisations deliver. The buyer needs those roles separated before relying on the arrangement for business operations.

## Define the operational service

Describe the transactions or processes the company needs to support, including expected currencies, channels and reporting requirements where relevant. Keep estimates separate from committed volumes. Identify whether the provider handles funds, supplies technology or introduces another institution, and ask it to explain the contractual boundaries.

Have the company's finance, legal and risk reviewers assess material terms and the appropriate regulatory verification. Procurement should coordinate the evidence without assuming that a familiar brand or registered company is authorised for every proposed financial activity.

## Establish authority and access

Name the employees who may submit instructions, approve transactions and administer the service. Keep those roles consistent with the company's internal controls. A supplier demonstration should use a suitable test environment or sanitised records rather than live credentials or unnecessary sensitive information.

Ask how user changes and access removal are requested and evidenced. The account should not depend on one employee's personal login or an informal message to the salesperson when responsibilities change.

## Reconcile one representative transaction

Use an appropriately authorised and bounded operational test where the service permits it. Trace instruction, acknowledgement, status, settlement or completion, fees and the final report. Do not move funds merely to create a demonstration without the company's normal approval.

Consider a hypothetical payment service where the transaction appears successful but the finance team cannot match it to the settlement report. That is an onboarding gap even if the customer-facing interface looks correct. Require identifiers and exception records that the accounting process can use.

## Close the operating handover

Confirm support contacts, incident escalation, reporting access and the process for disputed or failed transactions. Record which entity answers each issue when technology and regulated service are supplied by different organisations.

Keep unresolved contract or eligibility questions visible and complete the relevant review before expanding use. Approval should state the service and operating scope tested, not endorse every product the provider offers.

The result should be a financial operation the authorised team can understand and reconcile. It should not rely on an unsupported guarantee of approval, uninterrupted processing or a commercial outcome controlled by other institutions and market conditions.
