A coffee-shop business account should make a mixed order accurate and easy to receive. The service is different from buying wholesale beans or equipment: the office is purchasing prepared products, packing and a collection or delivery handoff. A menu discount alone does not establish that the shop can manage scheduled meetings or recurring orders reliably.

## Describe the office's real order pattern

List the expected drinks, sizes, customisations and typical quantities. Separate a standing commitment from an estimate of future demand. Identify whether orders are collected by an employee or delivered to a particular reception point.

Ask the shop to confirm which options are available and how ingredient enquiries are answered. Specific dietary requests need product-specific information; the coordinator should not infer suitability from a broad menu description or the appearance of a drink.

## Establish the order and approval route

Name the person authorised to place or amend orders and agree how the shop confirms the final list. Several employees can contribute preferences, but the supplier needs one accepted instruction. Identify when a change affects preparation or the charge.

Set substitution rules. If an item is unavailable, the shop should know whether it must seek approval and which information the buyer needs before accepting an alternative. A different product can have relevant ingredient differences even when it seems commercially equivalent.

## Test packing and the receiving handoff

Use the first representative order to check item labels, quantities and the link between the confirmation and delivered products. Consider a hypothetical meeting where the total cup count is right but customised drinks are unmarked. The delivery is not usable merely because every cup arrived.

Confirm the receiving contact, building access and the route for a missing or uncertain item. If another organisation performs delivery, ask which shop contact remains accountable for correcting the order.

## Review the first account cycle

Reconcile the final charge with the confirmed list and approved changes. Record product preference separately from service errors so feedback remains actionable. A drink that one employee dislikes is a different issue from an omitted customisation or unidentified substitute.

Keep the approved menu basis, ordering template and correction contact accessible to the office coordinator. Record which outlet and delivery window the first order tested. Expansion to another branch or a much larger meeting may need fresh confirmation.

Onboarding is complete when a colleague can place, receive and reconcile the next order without relying on a special arrangement with one salesperson. The goal is a repeatable prepared-drink service that fits the office, not an unqualified endorsement of everything the coffee shop offers.
