A cleaning contractor needs a clear picture of the premises before the first shift. Room names, surface types, access restrictions and operating hours determine what the team can complete and how the customer will assess it. Onboarding should turn the quotation into a site-specific work plan that supervisors and cleaners can use without repeatedly asking the original buyer.

## Walk the actual service areas

Conduct a joint survey and mark the areas included in the contract. Identify offices, washrooms, shared spaces, storage and any excluded rooms. Record surface materials and items requiring special care, using the relevant owner or manufacturer information where needed. Do not assume that a standard office-cleaning method suits every finish or piece of equipment.

Separate routine tasks from periodic work and specialist services. High-access work, hazardous contamination and clinical environments need their own competent assessment and should not enter an ordinary cleaning scope through an informal request. Give each unresolved area a named decision-maker before the service begins.

## Agree access and site responsibilities

Explain entry, sign-in, keys, restricted areas and the site's incident-reporting process. Identify who can authorise additional work or a schedule change. A cleaner receiving a request from an occupant should know whether it belongs in the agreed scope or needs supervisor approval.

Clarify who supplies equipment, materials, storage and consumables. Show the contractor the available facilities and ask it to confirm whether they support the proposed plan. Record any preparation the customer must complete, such as clearing an area or arranging access, so a missed task can be investigated fairly.

## Establish a visible quality baseline

Inspect representative areas together and record existing damage or persistent marks. Agree the outcome expected after routine cleaning and how periodic tasks will be checked. A sample completed area can make terms such as satisfactory finish more concrete, provided both parties understand the conditions and scope it represents.

Keep the inspection record focused on observable service outcomes. Photographs can help where appropriate, but avoid capturing confidential documents, screens or people unnecessarily. Store evidence through the customer's approved process rather than distributing site images casually.

## Review the first operating week

Check whether the team can complete the planned work within the available access windows. Record missed areas, supply gaps and unclear instructions, then adjust through the agreed supervisor. Confirm escalation contacts and relief arrangements. The completed onboarding should leave the customer with a workable cleaning schedule and an accountable route for correcting problems, not merely a roster of staff.
