An employee wellbeing supplier should be onboarded around the activities being purchased, the people delivering them and the information the employer will receive. A broad wellness label can cover general education, leisure benefits and clinical services with different requirements. Define those boundaries before promoting the programme to staff.

## Describe the employee offer precisely

List the proposed sessions, vouchers or services and identify whether participation is voluntary. State the locations, schedule, languages and practical access needs. Ask the provider to explain who delivers each activity and what is excluded.

Keep clinical assessment or treatment separate from a general wellbeing programme unless it has been specifically commissioned and reviewed through the appropriate professional route. The employer should not imply that a workshop or leisure benefit replaces individual healthcare.

## Establish participant communication

Review the invitation, booking instructions and description of the service. The provider should explain eligibility, limitations and the route for questions. Avoid promises of guaranteed health improvement or language that pressures employees to disclose personal circumstances to their manager.

Agree what information is necessary for booking and who collects it. Have the organisation's privacy and legal owners assess relevant data arrangements. The employer may need an account reconciliation without needing individual details about an employee's health or service discussion.

## Test the service journey

Use a small initial programme or representative booking to assess sign-up, availability, delivery and support. Check that the actual facilitator or venue matches the assessed proposal. A polished sales presentation does not establish that employees can book the service during realistic working patterns.

For example, a benefit may be advertised to shift workers while appointments are available only during hours they cannot attend. The onboarding review should identify that mismatch before the programme is launched broadly.

## Approve the scope and escalation route

Record the activities, providers, participating locations, account rules and contact for complaints or incidents. Ask the supplier to identify how it handles a request beyond the activity's scope and who communicates a limitation to the participant.

Retain the first-programme findings and unresolved actions. Approval should cover the services actually reviewed, not every activity the supplier may later add under the same wellbeing brand. A clear onboarding process gives employees an understandable offer and leaves the employer with a manageable purchasing arrangement rather than an undefined promise to improve everyone's health.
