A foodstuff trader should be onboarded around the products, lots and delivery conditions the buyer will actually receive. A broad catalogue and an attractive case price do not establish ingredient suitability, traceability or the process for a rejected delivery. Involve the kitchen or production owner and the responsible food-safety team before the first repeat order.

## Build an approved product record

Identify the product, brand or manufacturer, pack size, ingredient specification and intended use. Obtain the relevant label and product information for review. Record any requirements concerning allergens, origin, certifications or remaining shelf life, with the qualified reviewer determining what applies to the actual product.

Avoid approving a generic description such as cooking oil or frozen vegetables when the operation depends on a particular formulation, cut or pack format. The trader should know which characteristics are mandatory and which alternatives may be proposed for assessment.

## Establish the supply and receiving route

Ask whether the trader holds stock, imports to order or sources from another distributor. Identify the party responsible for storage and delivery. Confirm the ordering cutoff, receiving window and information supplied with each shipment, including the lot and date details needed by the buyer's established controls.

Agree who can reject or hold a delivery and how the supplier is notified. The purchasing contact should not be the only person who knows what to do when the receiving team observes a discrepancy.

## Test the first delivery end to end

Use a representative order to check the approved product, packaging, records and delivery arrangement. Have the food-safety or quality team apply its product-specific receiving criteria. Do not improvise universal temperature or shelf-life limits in a purchasing checklist.

For example, a flour shipment may match the brand but arrive in a pack size the production team cannot handle or store as planned. That is a specification and operating issue to resolve before repeat orders, even if the product itself meets the relevant safety requirements.

## Keep changes under control

Require notice of changes to manufacturer, formulation, origin, pack format or other approved characteristics. A familiar product name does not establish that the contents and label remain unchanged. Route proposed substitutes through the relevant quality and operational review before use.

Retain the approved record, first-delivery findings, escalation contacts and unresolved actions. Approve the trader for the assessed products and delivery model. Evidence about dry goods does not automatically establish capability for chilled or frozen products with different handling requirements.
