Security-provider onboarding should establish the authorised service, site responsibilities and reporting route before personnel or systems are relied upon. Procurement should coordinate the commercial and evidence process while qualified security and safety specialists define the operational requirements. A supplier's general assurance of protection is not a usable site instruction.

## Define the purchased service and boundaries

State whether the contract covers guarding, security systems, monitoring support or another defined activity. Identify tasks retained by the employer, building management or specialist contractors. Avoid combining every safety and security responsibility into one vague scope.

Have the relevant site specialists determine requirements and appropriate acceptance evidence. Keep sensitive site details within controlled channels rather than distributing operational vulnerabilities broadly during quotation. Suppliers should receive the information needed for a legitimate assessment at the appropriate stage.

## Verify the delivery organisation and people

Reconcile the contracting entity and proposed service with the applicable authority requirements. Ask which personnel or partners will deliver and how their relevant eligibility is checked. A provider's permission for one activity should not be assumed to cover every advertised service.

Name the supervisor and escalation contact. Confirm the process for approving replacements and ensuring that the incoming team receives the authorised site instructions. The service should not depend on one individual's memory of an informal briefing.

## Establish reporting and information controls

Agree the form of incident, maintenance or service reports appropriate to the scope. Identify who may receive sensitive records and who authorises access or configuration changes. Do not place credentials, detailed security arrangements or personal information in an ordinary procurement handover.

For a hypothetical office contract, an employee asks the supplier to change an access permission. The provider should know which authorised company contact must approve it rather than treat any workplace request as an instruction.

## Test readiness through a controlled handover

Use an authorised orientation, system acceptance or tabletop review suited to the contract. Do not create unsafe incidents or bypass real protections to test the supplier. The competent site team should determine what constitutes readiness.

Record open actions, accepted limitations and the owner of each correction. Confirm that the buyer can retrieve current service instructions and reach a decision-maker when the normal supervisor is absent.

Onboarding should result in a defined, accountable service that fits the site. It should not imply that a contract guarantees prevention of every incident or replaces the employer's continuing responsibilities for competent safety and security management.
