An architectural appointment starts effectively when the client and consultant share a clear building brief, a reliable information set and an agreed decision process. A signed fee proposal alone does not establish what the architect can assume about the site, who approves design choices or which other consultants provide essential inputs.

## Establish the design starting point

Create a brief covering the building's intended use, users, accommodation needs, operational priorities and budget context. Distinguish confirmed requirements from aspirations still being tested. Ask the architect to identify contradictions and missing decisions before those assumptions become embedded in a concept.

Provide available site information through a controlled register. Identify the source, date and status of surveys, existing drawings and planning information. Do not label unverified material as current. Agree which investigations or confirmations are needed and who commissions them; the architect should not have to infer that every supplied file is reliable.

## Define the appointment boundary

List the architectural stages and deliverables included in the appointment. Clarify interfaces with structural, building-services, landscape, cost and other specialists relevant to the project. Identify whether the architect coordinates those appointments or whether the client retains that responsibility.

Agree the scope of authority submissions and responses to comments without treating approval as a guaranteed outcome. Ask the consultant to identify the relevant jurisdiction and professional practice requirements for its role. Use qualified advisers to resolve contractual or regulatory questions specific to the site and project.

## Set the information workflow

Name the client decision-maker and the people who may provide operational input. Establish how comments are consolidated, how conflicting requests are resolved and when the architect receives an authorised instruction. Multiple client departments should not independently change the same design requirement.

Agree drawing identifiers, revision status, file formats and the common information location. Test access and file exchange early, particularly where models must be shared with other consultants. Define which issue statuses permit review, costing or construction use rather than relying on filenames alone.

## Start with an explicit action list

Hold an inception meeting to review the brief, missing information, design programme and immediate decisions. Record owners and dependencies, including client approvals that affect progress. Confirm the first review's purpose and expected evidence. A good onboarding outcome is a shared basis for design that can be updated transparently, allowing the architect to develop the building while the client understands which choices, inputs and approvals remain open.
