Onboarding should therefore connect the supplier's delivery process to the school's teaching calendar and acceptance responsibilities.

## Build the teaching requirement before the supplier record

Identify the year groups, subjects, languages and intended users covered by the purchase. For physical resources, record editions, quantities and any replenishment needs. For digital products, specify devices, account types, access duration and the person who will administer the service. Separate a resource purchase from any associated teaching, assessment or implementation service.

Appoint an academic owner and an operational owner. The academic owner confirms suitability for the intended learning activity. The operational owner coordinates receiving, accounts, support and payment. A supplier should know which person can approve a substitute and which person can only acknowledge that a parcel arrived.

## Rehearse one complete classroom journey

Choose a representative lesson and walk through the materials or platform it requires. A textbook order might need the student edition, teacher guide and answer resources to match. An online reading service might require account creation, accessibility settings and a way for a teacher to assign content to a class.

Ask the supplier to demonstrate that journey using the proposed product version. Record what the school must provide and what the supplier will configure. A demonstration performed entirely through the salesperson's administrator account does not establish that a teacher or learner can use the delivered service.

## Schedule acceptance around term readiness

Work backwards from the first planned use. Allow time for inventory checks, sample inspection, account testing and correction of shortages. Define an escalation route for a missing teacher resource or an activation failure that could prevent a whole class from participating.

Agree how the supplier will identify cartons, licence allocations or delivery batches. Keep the purchase order reference attached to each acceptance record. Where a partial delivery is useful, state which components can be accepted independently and which must arrive together before they count as ready.

## Close onboarding with a usable handover

Retain the support contact, replacement process, renewal date and approved product list in a shared school location. Ask the receiving team and a classroom user to confirm their respective checks. Release any unresolved exceptions with a named owner and deadline. The practical outcome is a resource ready for its intended lesson, with a clear route to repair the gaps.
