Choose a limited trial that reflects the company's real travel pattern and has clear evaluation criteria.

## Select meaningful test stays

Include relevant differences such as a late arrival, a short stay and a booking made through the normal company channel. Obtain the travellers' agreement to provide operational feedback. Do not create artificial emergencies or conceal an audit scenario from staff in a way that disrupts legitimate hotel operations.

Use the contracted room category and normal inclusions. Record any complimentary changes so the assessment does not mistake a special upgrade for the standard service. Confirm individual accommodation requirements directly before booking rather than using the pilot to test whether the hotel guesses them.

## Follow the reservation record

Keep the original request, confirmation and any amendment. Check whether the property and dates match, whether availability is genuinely confirmed and whether the company payment instruction is visible. Ask the traveller to report practical problems without collecting unnecessary personal information.

Observe arrival and checkout against the agreed process. Did the traveller know which charges were personal? Was the company account recognised? Were requests routed to someone able to help? These questions identify failures that a general satisfaction score can conceal.

## Reconcile the first invoice

Match billed room nights to the completed stays and approved changes. Check inclusions, extra charges and any agreed credits. Record how many contacts were required to resolve a discrepancy and whether the underlying instruction was corrected for later bookings.

Meet the property's reservations and finance contacts to discuss evidence. Distinguish a one-off misunderstanding from a process that cannot support the proposed programme. Ask for a specific correction, responsible owner and demonstration that the revised process works.

## Decide whether to expand

Compare the pilot with the original selection criteria: location fit, booking reliability, guest needs and account administration. Do not approve a large room commitment while material billing or inventory questions remain unresolved. If the property fits only part of the travel pattern, define that scope explicitly. Expand in a controlled way after the corrected process is demonstrated, and retain the pilot findings as the baseline for future account reviews rather than treating a successful inspection visit as conclusive evidence.
