# Piloting a new car parts supplier with representative orders

A supplier pilot should test identification, sourcing and issue handling across the parts the buyer expects to order. A single easy catalogue item proves little about variant-sensitive requests or special orders. Choose a small, representative set with workshop involvement and define acceptance before any part is installed or otherwise changes its return condition.

## Select requests that reveal the process

Include a routine item, a less common part and a request that needs careful vehicle matching. Use actual approved needs rather than buying unnecessary stock solely for the trial. Provide the appropriate vehicle identifiers and have the technical owner validate the proposed part references.

Record which brands, sources and part families the pilot covers. If the supplier uses different upstream channels for other items, do not assume the trial establishes those channels' availability or support. The result should remain specific to what was demonstrated.

## Ask for the normal order trail

Require the quotation, acknowledgement, source commitment, dispatch update and invoice information that would accompany routine orders. Confirm whether stock is held or sourced after the request. The pilot should expose uncertainty early rather than allowing a specially managed delivery to conceal the normal process.

For example, a supplier may initially quote one manufacturer but obtain another when stock is unavailable. Check whether that change is submitted for technical approval before dispatch. The handling of the change is a central pilot observation, not merely an administrative detail.

## Review receiving with the workshop

Check part references, packaging condition and available identifying information against the order. Have competent technical staff assess the application through the approved workshop process. Agree how discrepancies are documented and when the supplier is contacted, preserving relevant labels and records.

Do not create a false fault or fit an unsuitable item to test the supplier. A discussion of a realistic return or warranty scenario can assess the support process without exposing a vehicle or altering the condition of a part unnecessarily.

## Approve only the demonstrated scope

Review accuracy, actual lead time, source evidence, record quality and resolution of questions. Record failures and require specific corrections before expansion. Where a key process changes, repeat the affected part of the trial. The pilot gives procurement and the workshop a shared evidence base for future orders, rather than turning a successful courier delivery into a blanket approval for every new part in the supplier's catalogue.
