# Piloting a UAE print or typing supplier

A document-production pilot should reproduce the source quality, finishing or allocation challenge the buyer will actually purchase. An ideal sample selected by the supplier may not reveal how ordinary jobs are checked. Choose a bounded trial that can change the award decision and define acceptance before the provider starts.

## Use a representative source and specification

For print, provide an approved file and the required finished specification, including any folding, binding or pack assembly. For typing, use a controlled source sample with known correct entries and clearly identified uncertainties. Protect sensitive information through the buyer's normal controls.

State which capabilities the pilot tests. A successful flat print sample does not establish complex finishing, and accurate transcription of clean text does not prove reliable handling of poor scans or mixed layouts.

## Observe the intake and approval process

Ask the supplier to confirm the active version and identify missing information. Record whether it seeks clarification or makes assumptions. The same method should be used for later work; a special demonstration managed by the owner may not represent the ordinary production team.

For printing, review the proof and its link to the final output. For typing, inspect the sample record structure and exception list before allowing the batch to continue. Keep approval traceable to the specific version.

## Assess the finished result in context

Inspect the output as it will be used. A hypothetical multi-branch print pack may contain good individual items but fail because variants are mixed during assembly. Include that packing step if it forms part of the intended contract.

For typing, reconcile source items, completed entries and unresolved questions. Do not reward apparent completeness achieved by guessing. Record correction effort supplied by the buyer so the evaluation does not overstate the provider's independent accuracy.

## Close the commercial loop

Compare the invoice with the accepted trial scope and any authorised changes. Ask the provider to explain deviations and retain the corrected result without erasing the original finding. The pilot should reveal both output quality and how the supplier responds to an error.

Decide whether to proceed within the tested scope, require a targeted correction or select another provider. State what remains untested, such as higher volume, another finishing method or more sensitive material. Keep the accepted sample and job instruction as a reference for subsequent orders. A useful pilot produces a reproducible quality standard and an informed buying decision, rather than a favourable impression from one sample that has little connection to the real document programme.
