A machinery supplier trial should evaluate delivery, documentation and support within a technically approved plan. It should not expose people or operations to unreviewed equipment simply to test a vendor. The buyer's competent personnel should define the duty, acceptance evidence and conditions under which the trial must pause or stop.

## State the purchasing question

Identify whether the pilot tests mobilisation discipline, documentation, commissioning or support coordination. Choose equipment and site conditions representative of the intended award. Record what a limited trial cannot establish, such as performance under a different duty or with another model.

Use the normal technical and site controls. Calling the assignment a pilot does not remove requirements for suitability, competent operation or relevant evidence. Procurement should organise the supplier evaluation around those controls rather than create a separate informal route.

## Review readiness before mobilisation

Confirm the allocated machine, required records and site prerequisites. Ask the supplier to identify missing information and obtain a decision before transport or installation proceeds. Record whether the normal delivery team follows the agreed process.

For a hypothetical restricted-access site, observe whether the supplier checks the access assumption or waits until the machine arrives. That is a useful procurement finding without needing to create a hazardous operating test.

## Observe handover and support communication

Have the authorised technical team assess the machine against the trial's criteria. Procurement should retain acceptance status and unresolved items, not substitute a general satisfaction score for the technical review.

If a genuine fault arises, record the reporting route, supplier response and decision process. Do not deliberately create unsafe failures. A structured discussion can examine an untested support scenario without putting equipment or people at risk.

## Decide what the evidence supports

Reconcile the trial's delivered scope and final charges. For hire, check the return and off-hire process; for purchased or installed equipment, review the agreed commissioning and record handover. A machine completing a task does not erase missing documentation or an unexplained charge.

Record corrections separately from the original result. A successful response to a defect is useful evidence, but it should not hide a readiness weakness. Identify any unusually senior resources used during the trial and whether they represent the proposed normal service.

Approve the supplier within the tested scope, require a targeted correction or reconsider the award. Expansion should follow the technical and commercial evidence together. The pilot's value is a better bounded purchasing decision, not a ceremonial trial that would be declared successful regardless of what the site and support records reveal.
