## A quotation without site assumptions

Ask how the supplier estimated the work and which areas, frequencies and access windows it included. If the proposal relies on an unverified area figure or assumes empty rooms, correct that assumption before comparing prices. A vague all-inclusive description should be translated into the common task schedule.

Look for missing responsibility for equipment, materials and periodic tasks. Silence does not establish inclusion. Request a revised offer showing what the customer must provide and what the contractor will supply. This prevents a low monthly figure from shifting unplanned obligations to the facilities team after mobilisation.

## Unsupported specialist promises

Claims to handle every surface or provide a specialist outcome need appropriate scope and evidence. Separate ordinary cleaning from disinfection, high-access work and hazardous remediation. Ask the customer's competent reviewers to assess the proposed activity rather than accepting a broad sales assurance or requiring the team to improvise.

Be cautious when certifications or approvals are presented without a readable scope. Confirm the relevant entity, service and validity through the appropriate route. A logo in a brochure should trigger a verification question, not automatically count as evidence that the proposed work is covered.

## No supervision or relief plan

A staffing number does not explain who checks the result or replaces an absent team member. Ask for the proposed supervisory arrangement and a practical absence scenario. If site knowledge rests entirely with one person, establish how the contractor documents and transfers instructions to relief staff.

Examine the reporting process for blocked tasks and defects. A provider that only records attendance may leave the customer unable to see whether rooms were completed. Request a sample exception report and test whether it would help the site contact take the next action.

## Pressure to skip the acceptance definition

Resolve what completion means before work begins, especially for one-off handovers. A supplier may reasonably need a deposit or booking commitment under its terms, but the customer still needs an agreed scope and inspection route. Close recoverable gaps through a corrected proposal; do not rely on an undefined promise to sort everything out later.
