## Start with the quantity decision

Ask how many items are genuinely needed for the planned audience and distribution period. Separate a confirmed requirement from a preference for a lower unit price at a larger volume. A cheaper unit can create more obsolete stock if the content changes before the extra copies are used.

Consider a hypothetical recurring brochure programme. Smaller updated batches may reduce unused stock but change unit cost and delivery frequency. Compare those practical effects rather than assuming one batch size is always environmentally superior.

## Control artwork readiness

Name the internal reviewer who approves final content and the person who authorises production. Track late revisions that cause reruns. The most effective improvement may be a reliable approval deadline rather than changing the paper while continuing to print obsolete versions.

Keep the accepted proof and active artwork connected. A supplier using the wrong file can generate waste even when the buyer completed its review on time. Examine version control as part of the production process.

## Assess materials and finishing for purpose

Ask the printer to explain suitable alternatives and their functional trade-offs. Do not reduce durability or readability below the requirement simply to use a preferred material. Where a certification or environmental claim is offered, check its scope and relevance to the actual product.

Review finishing and mixed-material choices with appropriate expertise where needed. A general statement that something is recyclable does not establish the route available to the receiving organisation or what happens to the finished item.

## Record actual outcomes

Track rejected quantities, unused stock and authorised reruns. Identify whether the cause was over-ordering, changed content, supplier error or a genuine shift in demand. These distinctions show which party can improve the next job.

Ask for proportionate evidence of any contracted recovery or disposal arrangement. Do not assume material was handled as promised solely because it left the buyer's site.

Report measured changes directly and preserve limitations. Fewer obsolete brochures or a verified reduction in rejected output are useful results without being converted into an unsupported carbon-neutrality claim. Use the findings to adjust quantities, approval timing and specifications for the next order. A strong print-procurement improvement remains functional, traceable and sustainable as an ordinary purchasing practice rather than a one-off marketing assertion.
