A positive comment about price provides little evidence about formulation consistency, lot records or shortage communication. Ask a customer whose ingredient range and operating pattern resemble yours.

## Establish the reference's scope

Ask which products were supplied, how often orders were placed and whether the trader handled the delivery directly. Confirm the period of experience and the reference's role. A purchasing contact may know price and credits, while receiving or quality staff may know more about product discrepancies.

Do not stretch a reference for ambient packaged goods into evidence about chilled or frozen handling. Record where the previous supply differs from the range you intend to buy.

## Examine routine fulfilment

Ask whether the delivered product, pack format and quantity matched the approved order. Explore how remaining shelf-life commitments and required documents were handled under that customer's procedures. Avoid requesting confidential product or customer information that is unnecessary to assess service.

Request an example of a shortage. Did the trader warn the buyer early, identify available options and wait for approval? An apparently complete delivery may be less useful if it relies on substitutions that the kitchen has not assessed.

## Discuss a held or rejected delivery

Ask how the trader responded when the receiving team identified a problem. Separate the food-safety or quality decision from the commercial handling of collection and credit. The reference can describe communication and process without being asked to make unsupported allegations about the supplier.

For example, a pack-format mismatch may have made the ingredient unsuitable for the customer's production plan. Ask whether the trader acknowledged the difference and corrected the product record so the issue did not recur.

## Combine the reference with direct evidence

Record specific observations and the limits of the reference's knowledge. Give the candidate an opportunity to explain material concerns before they determine the award. A single positive or negative experience should not replace review of the proposed product and supply route.

Use the discussion to shape the first-order checks. If the evidence is limited, approve a smaller range or a bounded trial rather than making a broad claim about the trader's capability. The strongest reference check helps the buyer ask better operational questions and understand how the supplier behaves when routine replenishment does not go exactly to plan.
