Identify the reference's role. HR may know communication and account handling, while an organiser may have observed the session. Neither should be asked to disclose individual employees' service details.

## Explore the employee journey

Ask whether eligibility and booking instructions were clear, appointments were available and venue information was accurate. Find out how the provider handled cancellations or an unavailable service. Practical access is often more informative than the number of activities listed in the proposal.

For example, employees may have struggled to use a benefit during their shifts even though the programme appeared well attended by office staff. Ask how the supplier identified and responded to that difference.

## Review boundaries and reporting

Ask whether the provider communicated activity limits and handled questions outside scope appropriately. Explore whether the employer received the agreed level of reporting without unnecessary personal detail. Do not treat the reference's opinion as a substitute for your own professional and privacy review.

Discuss changes in facilitators or venues. Was the buyer informed early enough to assess the revised offer, or did participants discover the substitution during booking?

## Interpret the evidence carefully

Record specific observations and limits. Give the supplier an opportunity to clarify material concerns, and avoid presenting unverified complaints as established facts. Positive feedback about one service should not become approval of every clinical, beauty or leisure activity the company sells.

Combine the reference with direct review of the proposed activities, provider verification and a practical pilot where appropriate. The reference is useful when it helps the employer understand how the programme worked in everyday use, not when it supplies a broad testimonial that is treated as proof of health outcomes or universal employee satisfaction.
