An event reference should explain how an agency managed a programme with comparable audience, venue and production complexity. Guest impressions are useful but may not reveal the organiser's experience of approvals, scope changes or final charges. Ask questions that connect the visible event with the work needed to deliver it.

## Establish the agency's actual role

Ask which workstreams the agency owned and which the client or other suppliers managed. Record the event type, broad complexity and delivery team. A familiar event name is not evidence that the agency coordinated the entire production.

If the proposed assignment differs, note the limitation. A successful launch may show creative execution while offering little evidence of multi-room conference scheduling. The reference should support the capabilities it actually observed.

## Explore the planning process

Ask whether the agency identified venue and supplier dependencies early and kept decisions understandable. Did the client receive a useful production plan and run sheet? Were provisional costs and assumptions made clear before commitments were placed?

A practical question is what the organiser would specify differently next time. The answer may reveal a missing revision boundary, unclear rehearsal responsibility or late final-file delivery that can become a concrete condition in the new agreement.

## Ask about a real change or disruption

Request an example of changed guest numbers, a speaker issue or a technical interruption. Ask who coordinated the response, which decision the client had to make and whether the effect on scope and cost was explained.

For a hypothetical reference describing a successful last-minute recovery, distinguish the agency's work from extensive extra support provided by the buyer. The outcome can be positive while still requiring resources the new organiser does not have.

## Review closeout as well as event day

Ask whether the final account matched authorised scope and whether agreed assets and records arrived in usable form. Explore how disputed items were resolved without requesting confidential invoice details or guest information.

Record which project team the reference used and whether it is the team proposed now. An excellent experience with staff who are unavailable is useful context but not direct proof of the new delivery team's readiness.

Summarise specific observations and follow-up questions. Give the shortlisted agency a fair opportunity to explain material differences. Use the reference to refine acceptance criteria, pilot scope and change controls rather than simply collect a positive quote. The strongest evidence helps the buyer understand how the agency behaves when the event becomes difficult and what the organiser must contribute to achieve the expected result.
