## Establish the comparable order pattern

Ask about typical quantities, customisations and receiving arrangements. Determine whether the reference collected orders or used delivery and whether the shop served one location or several. Record the outlet and period of use.

A reference from another branch can reveal a brand's general approach but may not establish the intended outlet's operating process. Keep that limitation visible rather than describing the evidence as nationwide consistency.

## Explore confirmation and identification

Ask whether the shop confirmed the list accurately and communicated unavailable items before substitution. Were customised drinks easy to identify at receipt? Did the supplier answer product-information questions specifically or leave the coordinator to make assumptions?

Avoid requesting personal dietary information about employees. The reference can describe the process without disclosing individual circumstances. The procurement question is whether uncertainty was handled clearly and responsibly.

## Ask about a genuine incorrect order

Request an example of a missing item, late delivery or unclear label. Ask who responded, what information the organiser needed and how the correction was recorded. A provider's reaction to an ordinary mistake can be more informative than a broad claim that service was always excellent.

Consider a hypothetical reference whose meetings ran smoothly only because an employee repeatedly checked and chased every order. Record that internal effort. The new office may not have the same coordination capacity.

## Review the account after delivery

Ask whether invoices matched confirmed orders and whether credits or corrections were easy to reconcile. Did menu or outlet changes arrive with enough notice for the office to decide what to order next?

A useful closing question is what the reference would put in its next order template. The answer may identify a practical label, receiving contact or change deadline that improves the new account before the first meeting.

Summarise direct observations and use them to shape a representative pilot. Do not convert a friendly recommendation into evidence of product suitability or capabilities the reference never tested. The strongest reference check helps the buyer understand how the shop handles ordinary business orders and what the office must supply to make that process work reliably, rather than merely adding another favourable comment to the supplier's reputation.
