Record the team and production location used. If the new purchase involves a different partner or service, note the limitation rather than treating the reference as a universal endorsement.

## Explore instruction and version handling

Ask whether the supplier confirmed unclear specifications before production. Did proof approvals refer to the correct file? Were later changes controlled, or did the client need to repeatedly explain which version was active?

A useful question is what the reference would include more clearly in its next brief. The answer can identify a concrete improvement, such as a packing schedule or exception list, that the new buyer can adopt before award.

## Ask about a real error

For printing, explore a defect in content, finishing or allocation and how the supplier investigated it. For typing, ask whether uncertain fields were flagged and how incorrect entries were corrected. Distinguish provider errors from changes in the client's accepted source.

Consider a hypothetical reference whose batch was eventually accurate after extensive internal review. That outcome is useful evidence, but the buyer should understand how much checking the client supplied. It may not transfer to a programme with fewer internal resources.

## Review delivery and final charges

Ask whether output quantities, formats and final invoices matched the accepted order. Were editable files or other promised deliverables handed over in usable form? How were disagreements about rework resolved?

Avoid requesting commercially sensitive prices when a description of the charging process is sufficient. The purpose is to understand whether the supplier honoured an agreed basis and communicated changes before committing work.

Summarise specific observations and their limits. Give the shortlisted provider a fair opportunity to explain a material discrepancy or difference in scope. Use the findings to select a pilot and define acceptance rather than simply record a satisfaction score. A strong reference check changes what the buyer verifies in the next job and helps preserve the source, approval and production controls that make the delivered documents trustworthy.
