An architectural service agreement should define how design information, decisions and coordination move through the project. It should not promise that every approval or construction outcome is within the architect's control. Focus service expectations on the consultant's defined responsibilities and the client inputs needed to perform them.

## Define stage completion clearly

For each stage, identify the required drawings, reports, schedules and review evidence. State their intended use and the status that will accompany them. Completion should mean the agreed package has been delivered and reviewed through the defined process, not merely that a presentation meeting has occurred.

Record unresolved matters and assumptions in the stage submission. Some questions may legitimately depend on later specialist input or authority feedback. Make those limits visible so the client does not interpret a stage sign-off as confirmation that every design issue is closed.

## Agree response and coordination processes

Set a method for receiving consolidated client comments and returning responses. Distinguish acknowledgement, assessment and issue of revised information. The time required depends on the change, so use agreed categories or a case-specific programme rather than one unrealistic response promise for every request.

Define coordination meeting responsibilities and issue tracking. Ask who records decisions, assigns actions and confirms closure. If the architect is coordinating other consultants, describe that role explicitly while preserving each professional's responsibility for its own work.

## Connect programme to dependencies

Show client approvals, specialist inputs and external submissions in the design programme. Identify the effect of missing information and how the consultant will notify the client. Avoid measuring punctuality without considering whether the required inputs were available in the agreed form.

Set expectations for named-person continuity and substitution. Require the practice to explain material team changes and provide suitable replacement arrangements. The client needs a stable route for decisions even when individual staff availability changes over a long project.

## Review performance fairly

Use measures such as agreed-package completeness, comment closure and issue-register discipline. Examine the reasons for repeated revisions rather than counting drawings as a proxy for progress. Escalate unresolved coordination problems through named project leaders. A useful service agreement creates a transparent working relationship in which responsibilities, dependencies and evidence are visible, allowing the team to improve delivery without confusing professional design judgment with a simple production-line turnaround target.
