Use observable area standards and practical inspection routines, while keeping specialist hygiene or safety assessments with the people qualified to perform them.

## Define outcomes by area

Create a short standard for each relevant area, linked to the task schedule. Distinguish routine upkeep from periodic work and existing defects that cleaning cannot correct. Use an agreed sample area or photographs where appropriate to clarify presentation, without capturing confidential workplace information.

Avoid relying on unsupported hygiene claims as ordinary visual acceptance criteria. A surface looking clean does not establish a specific microbiological result. If the contract requires a specialist outcome, arrange the appropriate scope, evidence and competent review rather than allowing a general cleaning checklist to imply it.

## Match timing to occupancy

Specify when work is due and how the contractor records an area it cannot access. Agree the process for rescheduling blocked rooms. The customer should be able to distinguish a missed task from one deferred because the space remained occupied, and both situations need a clear next action.

Define how urgent requests reach the supervisor and which are included. A general promise to respond immediately does not explain staffing or priority when several areas need attention. Use realistic examples and confirm what the supplier can commit to under the purchased service.

## Separate inspection from correction

Identify who inspects, how often and how defects are recorded. Describe the location and observed issue so the contractor can act without ambiguity. Agree a correction window proportionate to the operational effect and confirm how completion is checked. A closed ticket should mean the agreed correction was verified, not merely that someone visited.

Keep escalation simple. The site contact needs access to a supervisor who can resolve repeated issues or approve a revised work sequence. Record matters requiring the customer's decision, such as moving stored items or changing access, so the supplier is not held responsible for a dependency it cannot control.

## Review patterns over time

Look for repeated defects in the same area or after staffing changes. Ask whether the cause is training, an unrealistic schedule, missing equipment or an unclear standard. Agree a focused improvement and examine subsequent inspections. This connects service levels to a maintained workplace standard rather than a scorecard that rewards completed paperwork while problems recur.
