## Set the order-confirmation standard

Ask the supplier to flag uncertainty or a proposed alternative before accepting the order. A generic confirmation should not be treated as agreement to an exact item if key fields remain blank.

Distinguish a quotation's availability estimate from reserved stock. Agree when the supplier commits to a delivery date and how it reports a source or timing change. This gives the workshop a reliable planning point rather than a sequence of optimistic updates.

## Measure accuracy and completeness

Track correct item, quantity, condition and invoice detail alongside timing. Have the workshop or technical owner determine fitment through its approved process. Procurement should record the decision and evidence without attempting to diagnose a vehicle or validate a component through a generic checklist.

For example, a shipment may arrive on time but contain a superseded part number that was never submitted for review. Record the unapproved change and its resolution. Punctual arrival should not erase a failure to supply the item on which the purchase decision was based.

## Define the support response

Agree contacts for wrong items, damage, missing information and warranty enquiries. Specify the evidence needed and expected stages: acknowledgement, investigation, proposed resolution and accepted closure. An immediate response is not equivalent to a replacement or credit being completed.

Clarify return conditions before parts are opened, installed or configured. The supplier's process should align with the workshop's receiving and technical checks so the buyer can identify a mismatch without inadvertently losing the route for commercial resolution.

## Review by brand and part family

Analyse recurring issues where they occur rather than relying on a catalogue-wide average. A provider may be accurate on routine service items and weak on variant-sensitive electronics. Agree targeted corrective action and verify subsequent orders. The service review should support better sourcing and ordering decisions, rewarding reliable supply of the approved part rather than a delivery-speed statistic that ignores whether the workshop can use it.
