A useful laundry service level defines when the customer receives usable textiles and how exceptions are resolved. Terms such as fast turnaround or premium quality are too vague to manage a missed collection or an incomplete return. Agree measurable commitments around handover windows, item reconciliation and the customer's practical need for the stock.

## Define the collection and return event

Specify the pickup window, collection point and authorised contact. State when the turnaround period begins and which return event completes it. If the customer cannot accept a delivery outside certain hours, make that constraint visible. A vehicle reaching the site after the receiving desk closes does not automatically make the linen available for use.

Identify the record produced at each handover. Include collection reference, quantity basis and any visible exception. Decide how a later processing count is reconciled with the pickup record. This prevents the service standard from depending on two incompatible versions of what was collected.

## Agree usable-return criteria

Document the required finish, presentation and identification through an approved sample or inspection description. Explain how the customer reports an unacceptable item and whether it is isolated for rewash or another decision. Keep the reporting process practical enough for busy receiving staff to use consistently.

Separate rewash turnaround from normal processing turnaround. A replacement correction that takes another full cycle may leave the customer short of usable stock. Ask the supplier to explain the recovery options and their limits, then agree a response that fits the customer's reserve and operational needs.

## Make delay communication actionable

Specify who receives notice of an expected delay and what the update should contain. The useful information is the affected return, expected usable quantity and next confirmed update, not a general apology. Identify an escalation contact who can make a routing or prioritisation decision when the normal contact cannot.

Distinguish routine peaks from exceptional disruptions. The supplier should state the capacity commitment included in the contract and the conditions for additional volume. Avoid accepting a blanket emergency promise that has no route, stock or processing arrangement behind it.

## Review the service through evidence

Track on-time usable returns, unresolved discrepancies and repeated quality issues. Discuss a small sample of failures to understand their causes and corrective actions. Use the contract's agreed remedies through the normal commercial process. The purpose of the service level is a dependable textile cycle, supported by records both parties can interpret.
