## Define the delivery commitment precisely

Track whether deliveries arrive when agreed, match the order and include usable traceability records. Keep technical acceptance decisions with the competent buyer team. Procurement should record the result and supplier response rather than inventing a universal test for material quality.

For example, a shipment can arrive on time with the correct quantity but lack the agreed heat-number link. Record that as a documentation or traceability failure until resolved. Counting it as fully successful would reward an outcome that the receiving process cannot yet release.

## Agree an exception-response process

Define contacts for shortages, damage, document discrepancies and suspected material nonconformity. Specify the information the buyer will provide and the supplier's expected acknowledgement and proposed-action times. Distinguish an initial response from an accepted correction or replacement.

Agree how affected material is identified and held through the buyer's technical and site procedures. Any return, disposal or handling decision should be made by the responsible competent teams using the actual material information. The commercial agreement should support those processes rather than prescribe unsafe shortcuts.

## Review recurring causes, not only percentages

Analyse failures by product, source and delivery route. Repeated minor documentation errors may reveal a supplier-system weakness that will persist until order data or dispatch controls change. Record corrective actions, owners and evidence of improvement. Service levels become useful when they help the buyer receive usable material consistently, rather than generating a favourable delivery statistic that ignores the conditions required for acceptance.
